Tips for a calm show day

Write piece titles in title case so they look consistent in print.
Check sponsor spellings with your booster treasurer before printing.
Keep the program under two pages if you want a single folded sheet.
Add one short welcome message instead of three long paragraphs.
Save your template before the dress rehearsal so you can make quick edits.

Spring fundraiser scenario

You have 45 minutes of music and a 15 minute intermission. Place your strongest opener first and your loudest piece right after intermission. Put slower works in the middle so the energy rises and falls naturally.

Holiday benefit scenario

Mix well-known songs with one newer piece so the audience feels both comfort and surprise. Add a short dedication note if the concert supports a family, charity, or community cause.

Common mistakes and quick fixes

Forgetting sponsor credits. Add them as soon as a business confirms, not the night before.

Overlong programs. If you have more than 18 pieces, split them into two halves or cut repeats.

Missing intermission. Mark the intermission in the planner so the program does not print without a break.

Wrong composer names. Ask your director to spell-check the final list.

Last-minute piece swaps. Save your template first, then edit. Reload if needed.

Blank welcome message. Write two short sentences about why the fundraiser matters.

This planner makes a few assumptions. Your concert has one or two halves with one intermission, your sponsors are grouped into a few simple levels, and your program is printed on standard letter or A4 paper. If your event is more complex, you can export the JSON and edit the details in a text editor before printing.

Before you print, double-check piece titles, sponsor spellings, and the intermission placement. Ask one other person to read the preview out loud. That quick read-through catches missing words, wrong titles, and names that are hard to pronounce. If you have last-minute changes, save the template first, make the edit, and print again. Do not rely on memory alone the night before the show.
